Domains Explained

What is a domain name?

A domain name is a web address.  It is linked to an IP address, a unique number for a machine on a network, which is invisible.  A domain name gives internet users a simple and memorable way of locating a website.  Because it is a unique location, once you are a registered owner of a domain name only you can set up your web site there.  So in effect, it works a bit like real estate.  The right location will attract more traffic to your site. 

What is the Domain Name System (DNS)?

The Domain Name System is the set of rules that enable computers to exchange data on the internet.  A DNS or name server translates our domain name "domains.coop" into an IP address "217.10.159.135" so that it can located on the internet.

What is a top-level domain?

A top-level domain is usually the last part of the domain name.  For example domains.coop has "domains" as its second-level domain and ".coop" as its top-level domain.  Top-level domains are intended to identify the type of owner of the second-level domain name.  For example, .com is intended for commercial organizations, however many non-commerical sites use .com names because there is no restriction on who can register them.

What is a sponsored top-level domain?

This is a specialized domain that represents a specific community.  The domains are 'sponsored' because specific groups within those communities establish and enforce rules restricting the eligibility of registrants to use the TLD.  The .coop domain is reserved for use by cooperatives, wholly owned subsidiaries, and other organizations that exist to promote or support cooperatives. The .coop domain is sponsored by the dotCoop registry.  This is a wholly owned subsidiary of the National Cooperative Business Association (NCBA).

What is the WHOIS database?

WHOIS is a public database that contains information about all registered domains names, such as the owner, the registrar and the expiry date of the domain name.  It is a requirement of ICANN that all domains are listed on it.  So when you check the availability of a domain, you are essentially searching the WHOIS database. You can find WHOIS details of .coop websites by using the orange search box.

Why should I register more than one domain name?

Many organizations choose to register multiple domain names.  They can be used to promote the different products and services and increase the opportunities to be listed in search engines.  Owning variations of your domain name also protects your brand online by ensuring other organizations do not register a similar domain name to yours.  Variations can also be of common misspellings of your domain name that you can redirect to your website rather than sending visitors to an error page.  It's easy to forward multiple domain names to your main website.  See Domain name Forwarding.

How do I log in with a temporary password?

How do I change my temporary password into a permanent one?

  1. Click here to go to your login page
  2. From your control panel click on the grey profile symbol on the top right-hand corner and from the dropdown box click on 'Change Password'.
  3. Insert the temporary password in the 'current password' field
  4. Insert the password that you find easier to remember in the password and confirm password fields
  5. Click on change password.  The password must contain at least 8 characters, of which one letter (a-z) and one number (0-9).

I have forgotten my password; how do I login into my customer account?

  1. Click here to go to your login page
  2. Click on the Forgot Password link in the login box.
  3. Enter your Username (i.e. the Email Address you used to register your domain name) and click on Forgot Password
  4. You will automatically receive a 'password retrieval email' containing a temporary password
  5. Click on the URL in the password retrieval email, you received, or copy and paste the URL in a browser.
  6. Enter the temporary password and your Username (Email Address) in the appropriate login fields at http://manage.uk.domains.coop (in the login box)
  7. Click on Login
  8. This password will be valid for 3 days only, so make sure you login within this timeframe and change your password once you logged in to your account.

Why am I not able to retrieve the login details for my account?

For security reasons login details can only be forwarded to the email address originally entered in the registration form, by the person who created the account.

If you cannot retrieve login details of your account from the registered mailbox, please contact us. Your request will need to be authenticated before the contact details of your account can be changed on your behalf.

How do I change my username?

  1. Click here to go to your login page
  2. Click on the grey Profile Symbol in the top right cornerand from the drop down box click on Manage Profile
  3. You will see the customer profile details displayed. You can change your Username (Email Address) here and click on Modify to effect the change.

Registration

Who can register a .coop domain name?

Only cooperatives, cooperative service organizations and wholly owned subsidiaries of cooperatives are eligible to use the .coop domain name. It is the responsibility of the dotCoop registry (www.coop) to ensure that organizations that register .coop names meet at least one of the .coop TLD Eligibility Criteria.

Can I purchase a .coop name for my individual use?

Individuals cannot purchase a .coop name for their own use. Domain names can only be registered by an eligible cooperative organization. Of course, individuals within a cooperative organization will be performing the actual purchase of names for the cooperative.

How do I register a .coop domain name?

  1. Click here to go to your webshop
  2. Type the domain name you wish to register in the 'Enter Your Preferred Domain Name' box.
  3. Tick the box next to 'coop' and click on Check Availability
  4. On the next screen you will see if the .coop domain name you searched for is available. If it is not available, you may try a different name or you could contact us for advice on choosing an appropriate name.
  5. If the name you want is available for registration, select the number of years from the dropdown list and click on the Add To Cart button.
  6. On the Login/Create Account page you will be asked to login to your existing customer account or to create a new customer account.
  7. If you already have an account with us, please enter your account details; if you don't, please proceed to the New Customer Form and fill in the appropriate fields to create an account in our system.
  8. Please ensure that you read our terms and conditions before ticking the box on the left of: "I have read the Customer Master Agreement, and I agree to all the terms ".
  9. Then you are ready to submit your form.
  10. The next page is the Domain Registration page; under .COOP Contacts you can select the owner of the domain name by clicking on Edit next to the 'add owner' box.
  11. From the list of .COOP Contacts that will appear in a pop up click on the Email Address to select the contact you wish to add as the owner.
  12. When registering .coop domains for the first time, all registrants have to provide the name and contact information of a Cooperative Reference. You can select yours from the default list of Co-op References or you can 'Add New Co-op Reference' by filling out the form and clicking on 'Associate and Use This'.
  13. Now click on Continue at the bottom of the Domain Registration page.
  14. You will now arrive at the Hosting page where you will be offered the choice of Web and Email Hosting packages for your domain name.
  15. If you don't require any Hosting packages you could click on the link No Thanks, Proceed to Checkout
  16. On the Shopping Cart a summary of your order will be given. Check that your order is correct.
  17. Tick the box on the left of: I agree to the NO SPAM POLICY and the Terms and Conditions for the above Services.
  18. Click on Proceed to Payment to access our online payment gateway.
  19. You will now come to the checkout page.  Under Pay Online, click on Continue.
  20. On the payment page enter your credit card details and click on Review Order and Continue. It is very important that you return to our website/your account once your credit card payment has been processed, or our system will not be able to confirm your payment.

What if I misspelled my domain name when I registered it?

Unfortunately you can't change or edit the spelling of a domain name once it is registered.

If you notice a mistake you can delete your domain by following these instructions:

  1. Click here to login to your account
  2. Go to your domain name by using the Jump to Domain box and click on the 'Delete Order' button. You will then have go through the whole registration process again to register the correct domain name.
  3. You will receive a refund if you delete your domain within 4 days of registration. The refund will be added to your customer account, so you can use it for future registrations (you can find it under Billing > Summary). If you delete your domain name after 4 days of registration you will not receive a refund.

How do I move my domain name from one customer account to another?

  1. Click here to login to your account
  2. Enter the domain name that you wish to move in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the arrow sign.
  3. Click on the 'Move Services'
  4. It is required that you enter the Customer ID and the Customer Username of the account you want to move the domain to in the next page.
  5. Please note to check the box if you want to retain the contact information on the domain being moved, otherwise the domain will automatically get the Whois contact details of the new account, once it is moved.
  6. Click on "Move Services to other Customer" box at the bottom of the screen.

How do I change the contact details (Whois) of my .coop domain?

  1. Click here to login to your account
  2. Enter the domain name that you wish to change the contact details for in the Jump to Domain box and select Domain Registration Service from the dropdown list.
  3. Click the Contact Details link to view the four Contacts associated with your domain name:
    >  Registrant Contact (owner of the domain name)
    >  Administrative Contact
    >  Technical Contact
    >  Billing Contact
  4. Change all 4 contact details by ticking the "Use same contact for…" box, or select a particular contact and make sure the "Use same contact for…" box is not ticked to change for just one contact.
  5. Finally Click on Save Contact Details

What do I do with my domain once it has been registered?

After registering your domain name you can set up your website by choosing a web host and designing your web pages.  You can opt for these services when you register a domain name with us.  See our Internet Guide for more information.  You can forward the domain name to an existing web site or you can also choose to simply hold on to your domain name until you decide what to use it for.

Can I use my .coop address for e-mail, even if I don’t have a website?

We encourage cooperatives to use a .coop email address in all their communication. You don't need a website to set up your email address, because all you need to do is to register your .coop domain name. With every domain name registration you will receive 2 email addresses free of charge. If you require more email addresses or you need a bigger account, you can buy one of our email hosting packages.

To manage your email, follow these instructions:

Are there any restrictions on names I can register in .coop?

Domain names in the .coop TLD should include only letters, numbers and dashes (-).  Spaces and other special characters are not allowed.

How do I register a free domain?

If you have never registered a .coop domain before, we're offering you the first year for free. To take advantage of this offer, simply click here to complete our Free Domain Offer form.  Once submitted, we'll create your customer account and register your domain.   Once registered, we'll give you instructions on how to activate and start using your .coop domain.


Eligibility

What are the .coop TLD eligibility criteria?

To be approved to register a .coop domain name, an applicant must qualify under at least one of the following criteria:

  • organizations formed as and/or considered cooperatives under applicable local law;
  • associations comprised of cooperatives;
  • organizations that are controlled by cooperatives;
  • organizations that are committed to the seven cooperative principles;
  • members of the International Cooperative Alliance(ICA);
  • members of the National Cooperative Business Association (NCBA);
  • entities whose operations are principally dedicated to serving cooperatives; and
  • for no more than 5,000 registrants, persons or entities whose use of a .coop domain name would, in the opinion of the dotCoop Board, advance the interests of the cooperative sector in general or would assist in the development of cooperatives worldwide.

Who sets the eligibility criteria?

As the sponsor, the dotCoop registry sets eligibility policies for registration for the .coop TLD based on the criteria defined in the agreement with ICANN. Eligibility criteria are specified in the Registration Agreement.

How do you ensure that only eligible organizations purchase names in the .coop domain?

During the registration process registrants need to provide the contact details of a co-operative reference that can help the dotCoop registry validate the eligibility of the registrant.  The dotCoop registry manually verifies all the applications, to make sure that .coop is reserved purely for cooperatives.

What does it mean if I get a notice that my eligibility is being verified?

This means that your application has been selected for verification.  The verification process will determine your organization's eligibility to use a .coop domain name.  The dotCoop registry will contact the reference you provided during registration to complete the eligibility verification for your organization.

During this verification process, the name(s) you have selected will be held in reserve. Within 5 business days, you will be notified by email of the verification decision.  If the dotCoop registry cannot determine eligibility based on the reference, you will be asked to provide appropriate documentation demonstrating eligibility for .coop registration.  The names selected for your organization will remain in reserve while this manual verification proceeds.

Can we register a .coop domain if our co-op is not fully organized?

Yes, you can purchase a name for your co-op as it is being formed.  The dotCoop registry recognizes the need to create your Internet identity as an integral part of the start-up of any company in today's world.  However, the dotCoop registry reserves the right to review your eligibility after an appropriate time and revoke your .coop domains with no refund if the organization that is created is not eligible as defined by our Charter.  Generally, the dotCoop registry reviews such registrations within six months of registration.

What happens if an eligible registrant becomes ineligible?

If an eligible registrant becomes ineligible to hold a .coop name because of demutualization, dissolution of the co-op or other means, then the registrant should notify the dotCoop registry within 30 days on www.nic.coop.  The name will be revoked and become available for repurchase by another eligible organization.  The dotCoop registry will also move to revoke names if notified by this change by outside parties using the standard manual verification process.


Verification

Why must my cooperative be verified when buying a .coop domain name?

Verification is required because the .coop top level domain (TLD) is a restricted TLD.  This means that only cooperatives and organizations serving cooperatives are allowed to register and use .coop domain names.  The dotCoop registry is responsible for ensuring that only eligible organizations are using this TLD.

Why do I need to provide the contact details of a Co-op Reference?

All registrants are asked to provide the contact information for a reference that can confirm the applicant's status as a cooperative under local cooperative definitions.  References would normally be cooperatives or cooperative organizations.  They could be contacted by the dotCoop registry to support verification.  If you can't send us the contact details of a reference then you may forward one of the following items:

  1. A copy of the organization's bylaws,
  2. A copy of the organization's most recent annual report or the most recent past two years of audited financials or financial statements provided to members over the past five years,
  3. A sample of the organization's membership application forms and/or membership materials, promotional, sales or informational material that reference the organizations status as a cooperative.

In addition, two references of individuals who can support your organization's cooperative status will be required.

Will I have to pay for my .coop domain if I am being verified?

Yes, you will still be charged for your .coop domain. If you are not eligible, your registration fee will not be refunded.  If you are not sure of your eligibility, please Contact Us

What happens to the name I have purchased if my cooperative is determined to be ineligible for registration?

If your cooperative is determined ineligible for registration, you will have 30 days to initiate an appeals process if you feel this determination was made in error.  The domain names you requested will be held in reserve for 30 days until the appeals period has expired.  If you appeal the ruling in that time period, the names you have purchased will remain on reserve until the end of the appeal process.

If the ineligibility ruling is upheld in the appeals process, the names you have purchased will be released from the reserved name system and you will not be able to register names on the .coop domain name system.

Will I be charged a fee for verification?

No. Verification is part of the cost of the .coop domain name.


Billing

How do I print my invoice?

  1. Click here to login to your account
  2. Click on My Billing and select List/Search Transactions from the dropdown menu.
  3. Click on the description of the transaction for which you want the invoice.
  4. When the transaction is displayed, click on Print above the transaction information to see a formatted invoice. The payment address and all other relevant information will be on the printed document.
  5. Click on File > Print to print off as many copies of the invoice that you need.

How do I pay a pending invoice?

  1. Click here to login to your account
  2. Click on My Billing and select Pending Payments from the drop down menu
  3. Click on the items that you want to pay for and select the Pay button.
  4. On the Payment Information screen, click on the Continue button in the Pay Online area (or select another payment method).
  5. You will now arrive at the online payment screen. Enter your credit card details and click on Continue and Review Order

Do I have to pay for my order online?

You do not have to pay online if you can't or do not wish to. Paying online is the most fast and simple method of payment. However we can arrange payment by cheque or by bank account transfer if you prefer. Please contact our support desk (Contact Us), quoting your order or invoice number and stating your preferred method of payment. We will then send you the payment instructions and we will execute your online order upon receipt of your payment. Please note that an administration fee will be added to your invoice total to cover incurring bank fees.


DNS

How do I access the DNS?

  1. Click here to login to your account
  2. Enter your domain name in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the '>>' icon.
    Scroll down to the 'DNS Management' heading or click on DNS management in the submenu on the right-hand side.
  3. Click on 'Manage DNS' to change your DNS records.

The types of Resource Records (RRs) manageable through Domains.coop's DNS Service:

  • Address (IPv4 A) Record:  Maps a domain name with a website
  • AAAA (IPv6) Record:  a larger version an IPv4 Address Record.
  • Mail Exchanger (MX) Record: identifies the email server(s) responsible for a domain name.
  • Canonical Name (CNAME) Record: specifies that the domain name is an alias of another.  Sometimes companies register multiple domain names for their brand names but still wish to maintain a single website. In such cases, a CNAME Record maybe used to forward traffic to their actual website. 
  • Name Server (NS) Record: identifies which name servers are used for the domain. 
  • Text (TXT) Records: provides the ability to associate some text with a domain or a sub-domain. This text is generally used to convey information about the zone.
  • Service (SRV) Record: An SRV or Service Record defines the location of servers for specified services.
  • Start of Authority (SOA) Record: indicates that this name server is the best source of information for your domain.

How do I modify the name servers of my domain?

  1. Click here to login to your account
  2. Enter your domain name in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the '>>' icon.
  3. Click on the "Name Servers" link under the Domain Registration heading.
  4. Enter the new names servers in the boxes (up to 13 DNS entries may be made) and click on 'Update Name Servers' at the bottom of the screen when you are done.

Email and Domain Forwarding

How do I create email accounts?

If you have purchased email hosting from us or if you would like to use the 2 email accounts you receive when registering a domain name, please follow these steps:

  1. Click here to login to your account
  2. Enter your domain name in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the '>>' icon.
  3. Click on the "Email" tab on the menu on the right side of your screen.
  4. Click on "Manage Email".
  5. In the Email Dashboard click on "Add User" and fill-out the required contact information.

How do I setup Email Forwarding?

  1. Click here to login to your account
  2. Enter your domain name in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the '>>' icon. Scroll down or click on the Email tab on the menu on the right of your screen.
  3. Click Manage Email.
  4. In the Menu, go to Mail and select Add Forward Only Account from the dropdown.
  5. Enter the email you want to activate (e.g. name@mydomain.coop) in the first box and in the box below specify the email address (or more than one) on which you want to actually receive the emails (e.g. name@mydomain.com).
  6. The forwarding service on your domain will be immediately activated when you click on Add Account.

How do I set up Domain Forwarding?

  1. Click here to login to your account
  2. Enter your domain name in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the '>>' icon. Scroll down or click on the Domain Forwarding tab on the right of the screen.
  3. Click on the Manage Domain Forwarding, and complete the information in the boxes (see below).
  4. Once completed, click Save.
  • URL Masking: when enabled, visitors to the domain name will be forwarded to your destination website; however the URL in their browser address bar will remain the same.
  • Sub Domain Forwarding: you can forward any visitor from a domain to a subdomain.  For example, http://payments.your-domain-name.com will be successfully forwarded to http://destination-domain-name.com/payments.
  • Path Forwarding:  Enables you to forward not only other domain names to your website, but also all paths associated with the website.  Thus, if you forward http://your-domain-name.com to http://destination-domain-name.com and you enable Path Forwarding for it, then http://your-domain-name.com/index/index.html would be forwarded to http://destination-domain-name.com/index/index.html and so on.

Expiring Domain Names

What happens when a .coop name registration expires?

When the expiration date is reached, the name is inactivated.  The name (site) will not be accessible on the Internet and will no longer be valid for email.  Although the information on the name can still be seen on the .coop WHOIS, the DNS information will no longer be published to the Internet.

You will be able to renew the domain until 45 days after expiration.  After this time the domain will be released and other customers will be able to register it.

How do I renew my domain name?

  1. Click here to login to your account
  2. Enter your domain name in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the '>>' icon.
  3. Select the number of years for which you wish to renew this domain name from the dropdown box.  Click on Renew Domain Name after selecting the renewal period.
  4. To pay online, click on the Continue button in the Pay Online area.
  5. You will now arrive at the online payment screen.  Enter your credit card details and click on Continue and Review Order.

It is very important that you return to our website/your account once your credit card payment has been processed, or our system will not be able to confirm your payment.

Once your online payment is processed you will receive an automated email from us confirming the payment of your invoice and if you paid via Paypal you will receive a payment receipt from them too.  If you do not receive both automated email confirmations please contact us so we can make sure that your renewal has been processed.

How do I delete a domain name?

You may delete a registered domain name from your Control Panel within 4 days after registering.   When deleting a domain name within the 4-day grace period, you are entitled to a refund of the amount paid.  However, you may have to bear a deletion charge to compensate Payment Gateway charges.  Deleting a domain name will immediately disable any services associated with the domain name.  For example, any website or email accounts configured for this domain name would stop working.

To delete a domain name:

  1. Click here to login to your account
  2. Enter your domain name in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the '>>' icon.
  3. Click the Delete Order link.
  4. On the next page, confirm the Deletion by clicking the Delete Order button. The domain name will be immediately deleted.

What happens if I am in the middle of transferring and renewing my domain name when the expiration date occurs?

Names that are in the middle of the transfer or renewal process will not be deactivated at expiration.  If a transfer that was in process at the time of expiration is not completed successfully, the name will be deactivated at that time.

Can I reactivate my name after it expires?

As soon as a Renewal or Transfer is accepted for an expired name, the name will be re-activated.  It will take about 24 hours for the domain to be completely accessible on the Internet again.  This option is only available for 45 days after expiration.  After this time your domain will no longer be held for you and everyone will be able to register it.

What is the Grace Period for .coop domains?

The .coop registry allows for a 4-day grace period on domain name registrations. During that 4-day period, a refund will be given if you have a reason to delete your domain.  Please contact us to make sure that the refund is added to your account. Please note that the funds will return to your customer account for future registrations.

Can I transfer my domain to another Registrar?

There are various cases where a domain name may not be transferable to another Registrar.  This could happen in the following circumstances:

  • The domain name is less than 60 days old
  • The domain name has already been transferred less than 60 days ago
  • Theft Protection/Lock/Suspension has been applied on your domain name
  • Privacy Protection has been enabled on your domain name
  • Domain name is in the Redemption Grace Period or in the Pending Delete status

How do I transfer my name to another Registrar?

To transfer your name to a different registrar, contact the "new" registrar to find out their requirement to begin a transfer.

What is an Authorization ID or Domain Secret?

A Domain (Transfer) Secret or Authorization (Auth) Code is a code assigned by the registrar at the time the domain name was registered.  It acts like a password for a domain name, ensuring that only the owner of the domain can transfer their domain name.

Registrants may have access to this information or may need to request it from their old registrar. These passwords are called the Authorization ID by some registrars and Domain Secrets by other registrars. This is not your password for accessing your registrar account in most cases.

To View/Modify a Domain (Transfer) Secret Key/Authorization Code:

  1. Click here to login to your account
  2. Enter your domain name in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the '>>' icon.
  3. Under Domain Registration, click the Domain Secret link

Here, the current Domain (Transfer) Secret will be displayed. In order to change it, provide a new Domain (Transfer) Secret in the textbox and click the Update Domain Secret button to set it.

How do I transfer my name to Domains.coop?

To transfer your name from another registrar to Domains.coop:

  1. Click here to login to your account
  2. Enter your domain name in the Jump to Domain box, select Domain Registration Service from the dropdown list and click on the '>>' icon.
  3. In the Menu, point to Manage Orders and then click Transfer Domain.
  4. Now, enter the domain name you wish to Transfer and the Domain (Transfer) Secret Key/Authorization Code. (Please check with your current registrar where you can find this code on your customer control panel)
  5. Select the various Contacts (Registrant, Admin, Technical & Billing Contact) for this domain name from the available list of Contacts or Add a New Contact.
  6. Choose whether to enable Privacy Protection for your domain name by selecting the Privacy Protection check box.
  7. Next, select the check box to agree to the associated Product Agreement(s).
  8. Proceed with the Payment of the Invoice.
  9. After you have placed the Transfer Order, the Registrant or Admin Contact for the domain name will receive an e-mail for the Transfer Authorization process. The transfer will only be processed if the Registrant or Admin contact approves it, within 5 days (by clicking on a link in the email from Domains.coop).
  10. Once the mail has been approved by the Registrant or Admin Contact, we will be notified regarding the transfer and we will process it.
